What do we want from you?
We’re looking for someone with tenacity, a positive attitude, boundless energy and some Hotel Indigo swagger. You'll be an integral member of the hotel’s leadership team, providing support and ensuring the smooth administration and operation of the Executive Office. You will be required to maintain a high degree of confidentiality, diplomacy, and attention to details in all matters pertaining to the Hotel’s administrative requirements.
You'll report directly to the General Manager and will be required to handle a wide range of high-level tasks to ensure that documents, presentations, meeting minutes, reports and scheduling are completed in a timely manner.
Ideally, you will have a minimum of 4 years of experience in a similar role of Assistant to a General Manager within a hotel environment. You will possess excellent verbal and written communication skills in English and the ability to effectively multitask with a high level of attention to detail. You will need to be highly computer literate across MS Office 365, well versed in preparing presentations, reports, and maintaining online archives.
Your day to day
Assist the General Manager in ensuring the smooth administration and operation of the Executive Office.
- Process and respond to all correspondence in a timely manner at a professional level.
- Ensure the filing system of the General Manager’s office is well maintained and orderly so that information is easily accessible and up to date with the latest revisions.
- Manage and trace the timely flow of information from the executive office at all times.
- Carry out typical administrative duties to ensure information is appropriately archived and disseminated.
- Record and prepare meeting minutes as and when required, ensuring timely and effective distribution to the necessary individuals within an appropriate time frame.
- Schedule meetings for the executive office to ensure calendars are maintained and accurate.
- Prepare both scheduled and requested reports for the executive office, ensuring accuracy and timely completion.
- Make reservations, prepare travel itineraries/airline/accommodation/transportation arrangements as required by the executive office.
- Create and update presentations, ensuring the collation and dissemination of information to required parties to ensure deadlines are met.
- Review documentation provided to the executive office by the Hotel to ensure that it meets the expected standards and the required information has been provided.
- Ensure guests comments and complaints are tracked and have been actioned and responded to in a timely manner.
- Maintain a good professional relationship with the leadership team, providing support wherever possible.
- Represent the executive office through a positive, helpful, and personable manner by creating an accessible environment for all employees of the hotel.
- Work closely with the General Manager to support the administrative and corporate culture requirements whilst keeping a pulse on the general sentiment of the organisation and to keep the General Manager informed accordingly.
